Teaching Smarter, Not Harder: How AI Can Reduce Teacher Workload

Practical tools that are already making a difference in classrooms across the country

Teachers are leaving the profession in record numbers. It’s not because they don’t love their students or their craft — most teachers are deeply passionate about education. The issue is the sheer weight of everything that surrounds the act of teaching itself: the planning, the paperwork, the reporting, the meetings, the resource creation, and the relentless administrative demands that chip away at time, energy, and joy.

Artificial intelligence is not a silver bullet, and no educator should feel pressured to adopt it wholesale. But used thoughtfully, AI tools can take meaningful chunks of that burden off teachers’ plates, freeing them to do what only a human being can do: build relationships, respond with empathy, and make the kind of nuanced professional judgements that no algorithm can replicate.

This post explores some of the most practical, classroom-ready ways AI is already reducing teacher workload, with a particular focus on two standout tools: Storybook for creating social stories for students with social-emotional needs, and NotebookLM for assessment design and policy sharing.

The Workload Crisis in Plain Terms

Research consistently shows that teachers work far beyond their contracted hours. A typical teacher might spend their contracted day in the classroom, then spend evenings and weekends marking, planning, communicating with families, updating records, and developing resources only to start the cycle again Monday morning.

For teachers working with students who have additional needs, whether cognitive, emotional, or social, the workload is even heavier. Creating differentiated resources, developing individual support plans, and producing tailored materials like social stories can consume enormous amounts of time that most educators simply don’t have.

This is where AI, applied with care and professional judgement, has genuine potential to make a difference.

Storybook AI: Personalised Social Stories in Minutes

Social stories are short, structured narratives that help students, particularly those with autism spectrum disorder, anxiety, or other social-emotional learning needs, understand social situations, expected behaviours, and emotional responses. Developed by Carol Gray in the early 1990s, they remain one of the most evidence-based, widely used strategies in inclusive education.

The challenge? Writing an effective social story takes time. It requires understanding the individual student, crafting language at the right cognitive level, and sometimes sourcing or creating images that feel relevant and accessible. For a teacher managing a full class alongside several students with additional needs, producing even one tailored social story can easily take an hour or more.

Storybook (storybook.ai) changes this dramatically. Using AI image generation and natural language tools, Storybook allows teachers to create illustrated, personalised stories in a fraction of the time. A teacher can describe the scenario, transitioning between classes, handling conflict with a peer, managing big emotions during a test and the tool generates a story with appropriate language and visuals that can be customised, printed, or shared digitally.

What makes Storybook particularly powerful is its ability to represent individual students through customisable characters. Rather than a generic story about a child named ‘Alex’, a teacher can create a story featuring a character that looks like their student, lives in a familiar setting, and faces the specific challenge that student is navigating right now. This level of personalisation used to require specialist support or significant creative effort. Now it takes minutes.

Teachers using Storybook report being able to create three or four social stories in the time it previously took to write one and the quality and consistency of the output means students engage with them more readily. Support staff can also access and use the stories without needing to be deeply familiar with the student’s background, making it a genuinely collaborative resource.

For schools with growing numbers of students requiring social-emotional support and shrinking specialist staffing budgets, this kind of AI-assisted resource creation isn’t a luxury. It’s a meaningful answer to a real need.

NotebookLM: Rethinking Assessment Design and Policy Sharing

Assessment is one of the most time-consuming aspects of teaching and also one of the most cognitively demanding. Designing valid, meaningful assessments that align with curriculum objectives, differentiate appropriately, and generate data that actually informs teaching is a significant professional undertaking. Yet teachers often have to do it from scratch, in isolation, and under time pressure.

NotebookLM, Google’s AI research and note-taking tool, offers a different way to approach this work. Teachers can upload curriculum documents, past assessments, rubrics, policy statements, and research papers into NotebookLM, and then have a conversation with that body of material as if they were talking to a deeply informed colleague.

In practice, this means a teacher designing an end-of-unit assessment can upload their year-level curriculum guide, ask NotebookLM to identify the key skills and knowledge to assess, then iterate through different question types and task formats all grounded in the documents they’ve provided. The AI won’t invent content or pull from the internet; it works strictly from what the teacher has given it, which means the output stays relevant, accurate, and aligned.

This has profound implications for assessment quality. Rather than a teacher designing questions based on memory and instinct under time pressure, they’re working in dialogue with their own curriculum resources, thinking more carefully and systematically about what matters and why. The result is typically a more coherent, defensible assessment, developed in less time.

NotebookLM is also transforming how schools share and communicate assessment policy. Lengthy policy documents are notoriously difficult to navigate teachers may know a policy exists but struggle to locate the specific guidance they need in the moment. A Head of Department can upload the school’s assessment policy, marking guidelines, and any relevant curriculum authority documents into a shared NotebookLM notebook, then invite their team to use it as an interactive reference.

Instead of searching through a 40-page PDF, a teacher can simply ask: ‘What does our policy say about late submission for Year 10 students?’ or ‘How should I report a student who has completed less than 50% of an assessment task?’ and receive an immediate, sourced answer drawn from the uploaded documents. This reduces the back-and-forth with administration, saves time, and ensures policy is applied consistently across a faculty or school.

One school using NotebookLM reported that new staff onboarding became significantly smoother when they could interact with policy documents rather than simply being handed a folder to read. Teachers asked better questions, retained information more effectively, and felt more confident making assessment decisions independently — which, in turn, reduced the burden on coordinators and department heads.

Beyond These Tools: AI Across the Teaching Day

Storybook and NotebookLM are just two examples of AI tools that are earning genuine trust from educators. Across the school day, teachers are finding practical applications that save time without compromising professional quality. AI can assist in drafting parent communication letters that might otherwise take twenty minutes to write carefully. It can help differentiate a worksheet for students working at different levels. It can analyse student feedback surveys and surface patterns a teacher might miss in a quick read-through.

Lesson planning is another area where AI is proving genuinely useful not replacing the teacher’s professional judgement about what their class needs, but accelerating the scaffolding work. A teacher can describe their class, their learning objectives, and their constraints, and receive a draft lesson structure that they refine and make their own. The thinking still belongs to the teacher; the AI simply handles some of the labour of getting ideas onto the page.

Getting the Balance Right

None of this means teachers should uncritically accept AI output. The teacher’s professional eye remains essential. A social story generated by Storybook still needs to be reviewed for accuracy, appropriate tone, and alignment with the specific student’s needs before it’s used. An assessment draft produced with NotebookLM still needs to be checked against curriculum requirements and adjusted for the particular class.

AI works best when teachers treat it as a highly capable first drafter or thinking partner, one that handles the time-consuming groundwork so that the teacher’s energy can go where it matters most. The goal is not to automate teaching. It is to automate the parts of the job that should never have consumed so much of a teacher’s time in the first place.

Schools that are seeing the most benefit from AI adoption are those where leadership is thoughtful about implementation: providing professional learning, encouraging honest reflection on what’s working, and ensuring that time saved through AI tools actually returns to teachers as breathing room, not just as space for more tasks to rush in.

Conclusion: AI as a Partner, Not a Replacement

Teaching has always required creativity, compassion, and connection. Those qualities cannot be replicated by any algorithm. But the administrative weight that surrounds teaching, the document creation, the resource development, the policy navigation, is a different matter entirely.

Tools like Storybook and NotebookLM represent something genuinely useful: AI that meets teachers where they are, tackles real problems they face daily, and gives back something that matters enormously, time. Time to think, to plan, to support students with greater care, and occasionally, to simply breathe.

The workload crisis in teaching is real and urgent. AI won’t solve it alone. But in the hands of thoughtful educators, it can be a meaningful part of the answer.
